01Templates
Write it once.
- HTML with a plain-text twin
- Design a rich HTML signature and keep a plain-text version alongside it for messages sent without formatting.
- Fields from Entra ID
- Use {{displayName}}, {{jobTitle}}, {{department}}, {{mobilePhone}}, {{officeLocation}} and more. Each person's values come from your directory.
- Your own fields
- Add organisation-specific values, such as pronouns or a licence number, with {{custom.field}}.
- Conditional blocks
- Wrap a line in a condition and it only appears when that person has the value, so nobody gets an empty "Mobile:" line.
- Safe by design
- Template HTML is cleaned when it is saved and again when it is shown, and directory values are escaped, so a signature can never carry a script.

- Assignment rules
- Match on group membership, department, job title, office, company, email domain or named people, combining conditions with all or any.
- Priorities
- Order your rules so the most specific one wins. Drag to reorder.
- See who is affected
- Before saving a rule, preview the list of people it will apply to.
- Scheduled windows
- Give a rule a start and end date to run a campaign banner or seasonal message, then let it switch itself off.
03Control

- Render any template exactly as a chosen person will see it, with their real directory values.
- Versions and rollback
- Every save creates a new version. Compare and restore an earlier one in a click.
- Duplicate templates
- Start a variation from an existing template rather than from scratch.

04Delivery
Where people actually write.
- Outlook add-in
- Adds the signature to new messages, replies and forwards in Outlook for Windows, Mac and the web.
- Deployed by IT
- Roll the add-in out to everyone or chosen groups from the Microsoft 365 admin centre. Staff install nothing.
- Single sign-on
- The add-in signs people in with their Microsoft 365 account automatically, so there is no extra password.
- Nightly directory sync
- People, groups and profile changes are read from Entra ID every night, and administrators can run a sync on demand.
