Google Workspace

Gmail signatures, set for everyone.

Swyft Signature works with Google Workspace as well as Microsoft 365. Your directory fills in every signature, and Swyft Signature writes it straight into each person's Gmail settings.

01Connecting

One authorisation, then nothing to maintain.

  1. Sign in with Google

    Create your account with your Google Workspace account. Personal Gmail accounts are not accepted.

  2. Authorise once

    A super administrator authorises Swyft Signature in the Google Admin console, for the five scopes listed below.

  3. Signatures arrive in Gmail

    Swyft Signature reads your people and groups every night and sets each person's Gmail signature from your templates.

02Access

Five scopes. Four read-only.

These are the only scopes Swyft Signature asks for. It cannot read, send or delete email, and it cannot see Drive, Calendar or Chat. No passwords or keys are shared.

Google Workspace, domain-wide delegation

admin.directory.user.readonly

Reads each person's name, job title, department, phone numbers and manager for their signature.

admin.directory.group.readonly

Reads groups and their members, so a template can be assigned to a team.

admin.directory.domain.readonly

Reads your domains, so people on every one of them are included.

admin.directory.customer.readonly

Reads your organisation's name and details for the company fields.

gmail.settings.basic

Sets each person's Gmail signature. It cannot read, send or delete email.

Sign-in with Google uses only the basic openid, email and profile scopes. How we handle Google user data is set out in section 7 of our privacy policy.

03In Gmail

Kept right without anyone asking.

Change a template or a job title and Gmail follows on its own. There is nothing for staff to install.

  • Signatures are checked every 15 minutes and only rewritten when something changes
  • The nightly run puts back any signature changed by hand
  • People without a seat get no signature, and only signatures Swyft set are ever removed
  • Nested groups are followed, so a rule on a parent group reaches everyone in it
  • Gmail on the web uses the signature; the Gmail phone apps keep their own setting, which Google does not let any app change
