Getting started

Your first signature, step by step.

Everything you need to get Swyft Signature up and running for your team, from connecting your directory to the first signature landing in someone’s inbox.

01Before you start

A few things to hand.

None of these are essential to begin, but having them ready makes the set-up quicker.

  • An administrator for your Microsoft 365 or Google Workspace, to approve the connection
  • Your logo, ideally as a PNG at least 300 pixels wide
  • Any links you want in the signature, such as your website, social pages or a booking page
  • A rough idea of which teams need which signature

02Connect

Bring your people in.

  1. Start your free trial

Sign in with your Microsoft 365 or Google Workspace account, give your organisation a name and pick a plan to try. The trial lasts 30 days and needs no card.

  2. Connect your directory

Microsoft 365: a Global Administrator approves read-only access to your directory. Google Workspace: a super administrator authorises Swyft Signature in the Google Admin console.

  3. Let the first sync run

Your people, their job titles, phone numbers and groups are brought in automatically, and kept up to date every night after that.

03Roll out

Design once, everyone has it.

  1. Design your signature

Build a template with your logo, brand colours and links. Placeholders fill in each person’s name, role and contact details for them.

  2. Choose who gets it

Add a rule to give the signature to everyone, or to particular departments and groups. Different teams can have different signatures.

  3. Roll it out

Microsoft 365: deploy the Outlook add-in once under Integrated apps in the Microsoft 365 admin centre. Google Workspace: Swyft Signature sets each person’s Gmail signature for you.

04Good to know

Tips for a smooth roll-out.

Start small
Give the signature to a small group first, such as your own team, and check it in Outlook or Gmail before rolling it out to everyone.
Keep details in your directory
Swyft Signature reads names, job titles and phone numbers from Microsoft 365 or Google Workspace, so correct them there and every signature follows.
Use groups for teams
Rules that target groups keep working as people join and leave, with nothing to update by hand.
Phones and tablets
The Outlook add-in works in Outlook for Windows, Mac and the web. Outlook on phones and tablets does not support it, so signatures there are not added automatically.
